Getting to the Ricoh Arena
Getting to Coventry
Coventry is easily accessible from the National Motorway Network that bisects the region - M6, M40, M42, M5, M69; with the A45 and the A46 being the main arterial roads into the city and its region.
By Air
Birmingham International Airport
Birmingham International Airport is located 8 miles (13km) east of Birmingham City Centre at the centre of the national motorway network. It is situated on the A45 (Coventry Road) only 1 mile from junction 6 of the M42, from where there are direct connections to the M1, M5, M6, M6 Toll and M40. The airport is signposted from both the motorways and major roads. The new M6 Toll provides a congestion-free alternative to the M6 between junctions 4 and 11.

From the train station
The railway station for the Ricoh Arena is the main Coventry railway station, which is in the City Centre and approximately 6 miles away. There are always black cabs immediately outside the station and it is a 10 to 15 minute taxi ride costing around £9.00.
There is a taxi drop off point at the Ricoh Arena outside the main Atrium entrance.
Travel to the Hotels
The Ramada Hotel Coventry is located just 15 minutes away from Coventry Airport and 15 minutes away from Birmingham International Airport and the M6 Motorway is easily accessible. With the improved train station it is just 5 minutes walk away.
The Holiday Inn hotel is situated on the outskirts of the historic city of Coventry. It enjoys a prime location benefiting from the motorway networks of the M6, the M1 and the M69. The Holiday Inn Coventry is a 30-40 minute drive from Birmingham Airport costing approximately £30 and a 15 minute drive from Coventry Airport costing approximately £15.
Travel to the Hilton Coventry hotel takes just 25 minutes' drive from Birmingham International Airport. Located on Junction 2 of the M6/M69, the hotel is one junction from the Ricoh Arena.
Registration
On arrival at the Ricoh Arena please make your way to the WCET Registration Desk. The registration desk will be located in the Foyer of the Main Reception. You will be given your conference badge (which you must wear at all times to gain entry to the sessions) and ticket for the conference dinner if booked at the time of registering. Please note that you should bring your ticket to the dinner in order to gain entry.

Industry Exhibition
In order to keep registration fees to a minimum, it is important that we have the support of commercial organisations at the meeting. We hope that all delegates will visit the exhibition stands and meet the company representatives. The Exhibition will be located in the Jaguar Hall and the opening times are as follows:

Social Programme
Admission to the Drinks Reception (Wednesday 30th September) is open to everyone and no tickets are required. Entry to the Conference Dinner (Thursday 1st October) is by ticket only. Tickets will be given to you in your registration envelope. Tickets must be booked or purchased in advance.

Welcome Reception and Opening of Trade Exhibition, Jaguar Hall, Ricoh Arena
Following the overwhelming success of last year’s Welcome Reception we are delighted to confirm this will return in the 2009 programme and will be held in the exhibition area of the Jaguar Hall 1 where you can visit the exhibition stands and meet with friends old and new.
As before, the Welcome Reception will finish in good time so you have the chance to enjoy what the beautiful historic city of Coventry has to offer, alternatively you may prefer to stay and enjoy one of the UK’s largest and most glamorous Casinos based within the Ricoh Arena which offers a fantastic selection of gaming entertainment and cuisine.
Coaches will be provided from The Hilton, Holiday Inn and Ramada Hotels only at 17.15hrs to the Ricoh Arena with coaches returning at 19.30hrs.
THURSDAY 1st OCTOBER – 19.30 – Midnight
Conference Dinner and Dance – E-on Lounge, Ricoh Arena
Guests will be invited to an evening of glitz and glamour where you will enjoy pre dinner drinks, followed by a three course dinner in the E-on Lounge. The evening’s entertainment will consist of four dancers dancing to classic Vegas show tunes in show stopping outfits from the Folies Bergères followed by the band The Love Train.
We encourage you to join in the fun and glamour of the night and dress for the occasion!
Dinner tickets must have been pre-booked.
There will be coaches departing from the Hilton, Holiday Inn and Ramada Hotels only at 18.45hrs coaches returning at 11.30hrs and midnight.
Travel To And From the Ricoh
Coaches will not be provided from any of the hotels to and from the venue for the
conference. If you are being brought by a company they will be providing coaches for you, if you require assistance in organising transport to the Ricoh please contact us.
General Information
Casino Memberships
The Ricoh Arena has the UK’s largest Casino on site. Along with a wide range of gaming the
Casino also boasts 5 bars and a vast selection of cuisine.
Please note that access is permitted if you are not a member, however, should you win any amount in excess of £2000 you will only be eligible to keep £2000 of your winnings.
Subsequently, if you would like to become member of the casino beforehand, please provide In Conference with your name, contact details and date of birth and we can pre-register for your convenience.
Please note becoming a member is free but photo ID (passport/drivers license) is required.
Registration can also be processed on-site.
Photo Opportunities
There will be an opportunity for all delegates to have a professional picture taken either
individually or as part of a group. The photographer will be at the Pre-Dinner drinks reception on Thursday 1st October from 19.00hrs - 19.30hrs.
There will be a studio set up in the Yorkshire Bank Suite for anyone to have their pictures taken, these photos can then be purchased for £10 each outside the E-on Lounge where dinner is taking place.
Parking at the Ricoh Arena
Please note there is parking available at the Ricoh Arena, it is at a cost of approx £9 per day, however if you know in advance you would like to park there please contact us and you can pre-book spaces for only £3.50 + VAT per day.
Table Plan
A blank table plan for the Conference Dinner will be located beside the registration desk. If you have pre registered for the Dinner please allocate yourself to a table. Please ensure your name does not appear on the list twice as friends may have already added your name.

Poster Presenters
Posters can be displayed from 16.00hrs on Wednesday 30th September and can be removed from 15.00hrs on Friday 2nd October. Poster boards will be located in the exhibition area. The organisers cannot be held responsible for any posters left after this time.
Speaker Information
In order to ensure the smooth running of presentations at this meeting we would ask the presenters to note the following:

Speakers Preview Room is located in Organisers Office 1 where speakers can check and load their Power Point Presentations. This room will be open during normal Conference hours.

All presentations must be checked in with the technician in the Speaker Preview Room at least three hours prior to the relevant session.

Presenters must bring their presentation on CD, Zip disc or USB storage device.
-
Presentations must be in a PC readable format (if generated on a MAC please put ‘.ppt’ at the end of the presentation title, e.g. WCETPres becomes WCETPres.ppt).

NB If there are movie clips included in your presentation you MUST bring the original movie files as well as the PowerPoint file otherwise your movie clips will not run.

You are encouraged to introduce yourself to the Chairs of your session 10 minutes before the start of the session.

Overhead or 35mm slide projection facilities will NOT be available.

All speakers must be seated at top table throughout the whole session.

The programme is extremely full and each presentation unless advised otherwise is 8 minutes. We will operate a traffic light system for this and we ask all speakers to remain within this time limit.
Messages
A message board will be located beside the Registration Desk during the conference and you are encouraged to check it regularly.
